Specific Duties
Receptionist
• Manage the main switchboard, screens/answers all incoming phone calls, answers questions professionally, provides information as required and passes phone calls to required extensions providing the person with proper information
• Greet visitors and direct them to appropriate staff
• Manage the office facilities, such as fax machine, photocopier, scanner
• Liaise with express companies, office building management etc.
• Assist the Office Manager in the Head Office in administrative and operational matters at the local level
• Manage inventory of office supplies / ensures sufficient stock
• Update office Calendar at national and BJ local level
• Manage the booking of meeting rooms in BJ chapter
• Make travel arrangement
• Manage name cards printing
• Assist in basic translation
• Attendance Management
• Assist other departments’ work upon requests
• Other Office Administrative related issues
HR
• Assist with different aspects of recruiting (posting jobs on our website, 51job, LinkedIn, Yingjiesheng, manage bj_jobs account, etc);
• Assist in working permit/visa application/renewal for expats;
• Assist in holiday management;
• Support expats social insurance related documentations preparation;
• Updating the staff contact list and the Org. chart;
• Support the new employee orientation process, including on-boarding and paperwork;
• Assist in scheduling and preparation of training sessions and internal activities and events.
Operations
• Collecting and consolidating monthly lobby reports
• Update chamber distribution list and database
• Admin support on contacting service company to ensure office facilities running properly (photocopier, phone switchboard, office building management etc.)
• Admin support on office supplier management and ensure sufficient office supply stock
• Admin support on Liaise with express companies on chamber publications shipment.
• IT support to staff for computer trouble shooting
• Assist on product research and documents preparation
Skills & experience
• University students major in human resources management, Public Administration, English or business management.
• IT knowledge of local area network, Computer literacy, including Outlook, Word,
• Excel and Internet Explore.
• Native mandarin with excellent command of spoken and written English.
• Good teamwork.
• Self-initiative and willing to learn.
• Working carefully, attention to details.
