This privacy policy sets out how the European Union Chamber of Commerce in China Beijing Lufthansa Center, Office C412, No. 50 Liangmaqiao Road, Beijing, 100125, P.R. China, +86 (10) 6462 2066 (European Chamber) uses and protects any information that you give the European Chamber.

The European Chamber is committed to ensuring that your personal information is protected. Should you provide certain information by which you can be identified, then you can be assured that it will only be used in accordance with this privacy statement.

The European Chamber may change this policy from time to time by updating this page. You should check this page periodically to ensure that you are satisfied with any changes. If there is any material change to this policy, we will show notice in the login page and send email to you elaborating the material changes. This policy is effective from 30th July 2018.

The European Chamber is committed to protecting the privacy of members' personal information. This commitment applies with respect to information that we collect from visitors to the Chamber's website and information we collect in order to process commercial transactions initiated by customers on our website (including the purchasing or renewing of memberships online).

We may collect your information in the following ways:

You have given clear consent for us to process your personal information for a specific purpose.

Fulfillment of a contract

Processing your personal information is necessary for a contract you have with us, or because we have asked you to take specific steps before entering into that contract.

Processing your personal information is necessary for our legitimate interests or the legitimate interests of a third party, provided those interests are not outweighed by your rights and interests. These legitimate interests are:

  • gaining insights from your behaviour on our website or in our app
  • delivering, developing and improving the European Chamber service
  • enhancing data security

3. What we collect and what we do with the information we gather

We may collect the following information: 

  • Name
  • Company and job title
  • Contact information including your address, telephone number and email address
  • Fapiao information
  • Data that identifies you including your IP address, browser type and version, time zone setting, browser plug-in types, geolocation information about where you might be, operating system and version
  • Demographic information such as preferences and interests
  • Other information you directly provide to us.

All the information is stored on the European Chamber’s servers in Shanghai. [You acknowledge and agree that in the course of our business your information may be transmitted across borders in worldwide. We follow the requirements under the applicable laws and regulations in handling cross-border transfer of data.]

We collect and process such personal data in our legitimate interest and require this information to understand your needs and provide you with a better service, as well as for the following reasons:

Function 1: You browse our webpage

When you browse our webpage, we will collect the following information: your IP address, browser type and version, time zone setting, browser plug-in types, geolocation information about where you might be, operating system and version.

Function 2: You become a member

In order to become a member of the European Chamber, you will be asked to provide the following information: company name, business activities, company type, legal entity, industry, city, post code, address, country of headquarter, phone number, contact person name and email.

The following additional information will help us to improve our products and services: Chinese company name, logo, Chinese business activities, employee number, Chinese address, additional phone number, email address, website, contact persons, additional contact, position, fapiao information and main reason for joining. If you choose not to provide us with such information, you can continue to be a member and enjoy the basic membership rights.

The above information you provide will be used during your membership period. When you cancel your membership, we will stop using and delete such information upon your request.

Function 3: You create an online account

In order to open an account with the European Chamber, you will be asked to provide the following information: email, title, name, company, department and position.

The following additional information will help us to contact you and provide our service: job title, phone, fax, mobile and tags. If you choose not to provide us with such information, you can continue to use your account and enjoy the basic membership rights.

Function 4: You subscribe to newsletters

In order to subscribe to the European Chamber newsletters, you will be asked to provide the following information: title, name and email.

The following additional information will help us to send you targeted information: company. If you choose not to provide us with such information, you can continue to receive our newsletters.

Function 5: You register for an event

In order to register for an event, you will be asked to provide name, email, mobile and company.

The following additional information will help us to understand your demand for events and issue fapiao: department, position, personal or company fapiao information. If you choose not to provide us with such information, you can continue to attend our event.

Function 6: You download a publication

In order to download a publication, for members, you will be asked to provide username and password; for non-members, you will be asked to provide name and email.

4. Security

We are committed to ensuring that your information is secure. In order to prevent unauthorised access or disclosure we have put in place suitable physical, electronic and managerial procedures to safeguard and secure the information we collect online.

5. How we use cookies

A cookie is a small file which asks permission to be placed on your computer's hard drive. Once you agree, the file is added and the cookie helps analyse web traffic or lets you know when you visit a particular site. Cookies allow web applications to respond to you as an individual. The web application can tailor its operations to your needs, likes and dislikes by gathering and remembering information about your preferences.

We use traffic log cookies to identify which pages are being used. This helps us analyse data about web page traffic and improve our website in order to tailor it to customer needs. We only use this information for statistical analysis purposes and then the data is removed from the system.

Overall, cookies help us provide you with a better website, by enabling us to monitor which pages you find useful and which you do not. A cookie in no way gives us access to your computer or any information about you, other than the data you choose to share with us.

All cookies are temporary and only used by third party website analysis service provider called Matomo acting on our behalf and as instructed by us. Matomo is a leading open source analytics platform. We control all personal data and Matomo acts as our data processor only. 6. How we share, transfer and publicly disclose your personal information

We will not share, transfer or publicly disclose your personal information to any other companies, organisations or individuals unless in one of the following circumstances:

1)         We have obtained your explicit consent.

Your company information (‘BD INFO’ that you filled in backend) will be shown to other European Chamber members and non-members who bought online access service. Make sure the information you put in ‘BD INFO’ is intended to be shown to the public.

2)         We are required to share, transfer or publicly disclose your personal information in accordance with relevant laws and regulations or mandatory requirements by the government.

3)         We need to share your personal information with a third party service provider in order to fulfil one of the purposes listed in this privacy policy. We will ensure that the sharing is for legal, legitimate, necessary, specific and clear purposes. Our third party service providers will not be allowed to use the information for any other purposes. Third party service providers will be asked to sign a security and confidentiality agreement.

Our Site may contain links to enable you to visit other websites of interest easily. However, once you have used these links to leave our site, you should note that we do not have any control over that other website. 8. Controlling your personal information

You have the following privacy rights and can exercise them by emailing us at website@europeanchamber.com.cn:

  • You can choose to accept or decline cookies. Most web browsers automatically accept cookies, but you can usually modify your browser setting to decline cookies if you prefer. This may prevent you from taking full advantage of the Site.
  • Whenever you are asked to fill in a form on the chamber website, look for the box that you can click to indicate that you do not want the information to be used by anybody for direct marketing purposes
  • If you have previously given consent to our processing your personal information you can withdraw such consent at any time, by emailing us at website@europeanchamber.com.cn. If you do withdraw your consent, and if we do not have another legal basis for processing your personal information, then we will stop processing. If we do have another legal basis for processing your information, then we may continue to do so subject to your legal rights. The withdrawal of consent will not affect the lawfulness of processing based on consent before its withdrawal.
  • You can access information we hold about you, by emailing us at website@europeanchamber.com.cn, including

  • If you believe that any information we are holding on you is incorrect or incomplete, please write to or email us as soon as possible, at the above address. We will promptly correct any information found to be incorrect.
  • You can ask us to delete the personal information we hold about you, in one of the following circumstances:
  1. Where our processing of your personal information has violated relevant laws and regulations;
  2. Where you have not consented to our collection and processing of your personal information;
  3. Where our processing activities have violated a contractual agreement with you;
  4. Where you have ceased to use our products or services, or you have closed your account;
  5. Where we have ceased to provide products or services to you.

If we decide to delete your personal information, we will also notify third parties who have obtained your personal information through us, to require timely deletion of your personal information, unless otherwise provided in relevant laws and regulations, or these third parties have obtained a separate consent from you.

  • You can remove yourself from our distribution list following the procedures below:

Send your request to website@europeanchamber.com.cn. Once your account is removed from distribution list, we will cease to send newsletters and delete your personal information in accordance with your request, unless otherwise provided in relevant laws and regulations.

We will respond to your request within one month of receipt of your request. For requests to access personal information, the information will be provided in writing, or by electronic means where appropriate. It may be provided orally, provided that you can prove your identity.

In principle, we will not charge a fee for reasonable requests. However, for manifestly unfounded or excessive and repetitive requests, we may either charge a reasonable fee or refuse to act on the request. In accordance with relevant laws and regulations, we may not be able to respond to your request in one of the following circumstances:

  1. Directly related to national security and national defence security;
  2. Directly related to public security, public hygiene, and vital public interests;
  3. Directly related to criminal investigation, prosecution, trial and enforcement of judgements;
  4. Where there is sufficient evidence suggesting malice intention or abuse of power;
  5. Responding to your request will adversely affect the lawful rights of others;
  6. Where business secrets are involved.
  • If you are a junior under 14 years old, we suggest you invite your guardian(s) to read this policy discreetly. Your providing any personal data to us shall be subject to prior consent by your guardian(s).
  • If you are not satisfied, you can lodge a complaint through the following way: send an email to website@europeanchamber.com.cn.
  • Data retention period: In general, we will delete your data when your membership period ends. We will, however, store your personal data for as long as this is necessary for the purposes for which they are collected and for other permissible purposes. The storage periods result from the business requirements and relevant laws.

9. Your data subject rights

If you are situated in the EU, you have certain rights in relation to your personal data. Please be aware that certain exceptions apply to the exercise of these rights and so you will not be able to exercise these in all situations. In addition, these will vary in different EU member states.

(a) Subject Access: You have a right to be provided with access to any data held about you generally within 1 month of your request.

(b) Rectification: You can ask us to have inaccurate personal data amended.

(c) Erasure: You can ask us to erase personal data in certain circumstances and we will take reasonable steps to inform other controllers that are processing the data that you have requested the erasure of any links to, copies or replication of it.

(d) Withdrawal of consent: You can withdraw any consent to processing that you have given us and prevent further processing if there is no other ground under which we can process your personal data.

(e) Restriction: You can require certain personal data to be marked as restricted whilst complaints are resolved and also restrict processing in certain other circumstances.

(f) Portability: You can ask us to transmit the personal data that you have provided to us and we still hold about you to a third party electronically.

(g) Raise a complaint: You can raise a complaint about our processing with the data protection regulator in your jurisdiction (for example in the UK, Information Commissioner's Office).
