Job description
JOB OVERVIEW:
This position is responsible for procuring CCA and event materials, managing supplier relationships, and ensuring cost-effective, high-quality purchases in line with school policies. Additionally, this role supports RamShack operations by maintaining inventory, assisting with POS systems, training volunteers, and upholding visual and merchandise standards across campuses as needed.
Reports to: Purchasing Manager / Ramshack Manager
PURCHASING RESPONSBILITES:
1. Responsible for the procurement of CCA and Event materials and supplies, ensuring proper authorization and adherence to school policies.
2. Source and evaluate local suppliers to obtain quality materials and services at competitive prices.
3. Obtain price quotes, negotiate terms, and place orders with approved suppliers.
4. Inspect received products for quality and quantity, ensuring they meet specified requirements.
5. Handle issues with suppliers, including returns, refunds, or replacements.
6. Manage procurement for the RamShack shop, including other school-branded items and merchandise.
7. Maintain accurate records of purchases, supplier information, and inventory.
8. Collaborate with other departments to understand their supply needs and ensure timely fulfillment.
9. Perform other duties as assigned by the Purchasing Manager or CFO/COO.
RAMSHACK RESPONSBILITES:
1. Assist with maintaining inventory levels to prevent shortages or overstock of supplies.
2. Learn POS and provide oversight of volunteers using POS
3. Assist with procurement and training of volunteers
4. Assist with updating volunteer lists and creating schedules
5. Monitor visual standards and merchandise maintenance
6. Perform other duties as assigned by the RamShack Manager with coverage on either campus as needed.
Skills & experience
QUALIFICATIONS AND EXPERIENCE REQUIRED:
1. Minimum of 3 year of experience in a purchasing or procurement role, preferably in an educational or institutional setting.
2. Demonstrated integrity and ethical conduct in professional dealings.
3. Strong understanding of purchasing policies, processes, and procedures.
4. Ability to prioritize tasks effectively based on school needs and deadlines.
5. Flexibility and adaptability to changing priorities and requirements.
6. Self-motivated with the ability to work independently and as part of a team.
7. Quick learner with the capacity to absorb and retain information efficiently.
8. Excellent communication skills in both English and Chinese (written and spoken), with the ability to present ideas clearly.
9. Experience working in a collaborative, team-oriented environment.
10. Ability to work under pressure and willingness to work overtime when necessary.
11. Proficiency in Microsoft Office suite (Word, Excel, PowerPoint, Outlook).
12. Attention to detail and accuracy in handling orders and inventory.
13. Bachelor’s degree in Business Administration, Supply Chain Management, or a related field.
14. Cultural awareness and experience working in a multicultural environment is an advantage.
