Job description
Position Overview:
Under the supervision of the Foundation Manager, the DKU Education Development Foundation Assistant will support the project management and reporting as well as the daily operation of the Foundation. The foundation works to support the sustainable development of Duke Kunshan University (“university”) in talent development, research and social service through philanthropic support, promoting and facilitating Duke Kunshan’s mission to become a world-class liberal-arts and research university with a transformational impact on higher education in China and around the globe.

Essential Duties:
Project Management and Reporting
1. Assist in project applications and extensions, maintaining close communication with project teams to address inquiries, provide guidance, and ensure compliance with internal policies and regulations.
2. Ensure the completeness and accuracy of approval workflows for Foundation-supported projects, including project initiation, contract signing, and other related agreements.
3. Support the implementation and follow-up of approved projects, including scholarship allocation, research project tracking, and accurate, timely and well documented expense transfers, ensuring all required supporting documentation is complete and that donated funds are used properly and in compliance.
4. Coordinate and prepare donor reports and related documentation to ensure timely and accurate donor stewardship.
Administrative Support
1. Assist in organizing Foundation Board meetings, committee meetings, and other Foundation events, including logistic support, meeting materials preparation and note taking as needed
2. Maintain and update filing systems, including contracts, reports, meeting minutes, and other official documents.
3. Assist with regulatory compliance, including annual audit and work report, registrations and qualification applications as required by relevant authorities.
4. Provide administrative support for the Foundation’s daily operations and management.
5. Perform other duties as assigned.
6. Job responsibilities may expand in scope and depth as the Foundation grows in size and complexity.
Skills & experience
Required Qualifications:
1. Full-time bachelor’s degree or above, major in education, sociology, business administration, organizational development, management and English preferred, with a demonstrated interest in education, philanthropy, or the non-profit sector.
2. Excellent fresh graduates will be considered; 1–2 years of relevant work experience preferred.
3. Strong computer skills and good communication abilities; able to work in English (both written and spoken); quick learner.
4. Highly efficient, well-organized, and adaptable, with the ability to work under pressure.
5. Strong organizational skills with proven ability to handle multiple tasks simultaneously and pay close attention to detail.
6. Team player with a proactive attitude, positive personality, and passion for the non-profit sector and higher education.
7. Strong sense of responsibility and proven ability to meet deadlines while managing multiple projects.
8. Ability to work both independently and collaboratively in a multicultural and multidisciplinary team environment.
9. Experience in project management, grant administration, or donor relations is a plus.
10. Familiarity with non-profit compliance, finance, or reporting is preferred.
