Position Overview:
The HR Officer – HR Service serves as the point of contact for faculty and staff and be accountable for related HR services. Such as expatriate employees’ China work authorizations and international mobility, as well as local administrative services, such as accommodation, schooling for family members, relocation shipment etc.
Reports to:
Associate Director of Human Resources Services
Essential Duties:
Work Authorization Management:
1. Handle all aspects of work and residence permit processes for expatriates, including initiation, transfer, renewal, amendment, and cancellation.
2. Maintain timely and professional communication with expatriates across email, phone, and in-person interactions, ensuring close follow-up throughout each stage.
International Mobility Services:
1. Provide comprehensive relocation support, including international mobility coordination, local housing arrangements, school placement for dependents, shipment logistics, and other settling-in services.
Visitor Visa Support:
1. Prepare and issue visa invitation letters for international visitors while thoroughly reviewing visa-related requests from all departments to ensure accuracy and compliance, minimizing risk to the University.
Travel Coordination:
1. Manage travel logistics for faculty and staff, including flight, hotel, and ground transportation arrangements.
2. Collaborate with internal departments to ensure smooth arrivals and departures.
Data Management:
1. Ensure the integrity, security, and accuracy of personnel and mobility-related data.
2. Provide effective and actionable reports or data insights when required.
Government Relations:
1. Build and maintain professional working relationships with government offices to facilitate smooth processing of applications and compliance with regulatory requirements.
Administrative Support:
1. Provide day-to-day HR administrative support for faculty and staff, ensuring efficient and responsive service delivery.
Benefit Processing:
1. Assist in the administration of faculty and staff benefits, including facilitating purchase orders, purchase requests, and other benefit-related tasks.
Event Coordination:
1. Organize and support employee engagement initiatives, such as team-building activities, annual awards ceremonies, and other staff events.
2. Perform other duties as assigned.
3. University employees' job responsibilities will continue to expand in scope and depth as the University grows in size and complexity in its programs.
Skills & experience
Required Qualifications:
1. Bachelor’s degree or above in Management, Human Resources, or related majors.
2. Familiar with the policies and regulations of work permit, residence permit and visa, etc. Three years’ experience in this area is preferred.
3. Bachelor’s degree or above in Management, Human Resources, or related majors.
4. Fluent English and Mandarin in both written and spoken.
5. Excellent customer service skills and time management skills. Excellent interpersonal and communication skills, able to work as part of a team and independently.
6. Must be able to travel often to government offices in Kunshan, Suzhou, Nanjing, Shanghai and other cities.
7. Must be familiar with computer software programs e.g. Word, Excel, Outlook, etc.
