Job description
Duties :
1. Greets and handles in-house guests as well as potential clients in a professional manner, with a warm welcoming smile and eye contact
2. Maintains a high level of alertness and professionalism at the front counter by anticipating and responding to guests an/or potential clients’ needs or queries
3. Provides PABX functions at the beginning and end of shift
4. Answers telephone calls in a professional and efficient manner which includes exuding a cheerful and clear tone
5. Know each client by name and know how they want their telephone answered
6. Records messages in a clear, accurate and efficient manner
7. Track and record all client services on control sheets
8. Accurately record all services rendered
9. Never say “no” or “I don’t know” to a client
10. Handle request for simple client services
11. Ensures a continuity of presence at all times at the reception area
12. Organizes postage and document courier services
13. Maintains and updates out-of-town client lists
14. Ensures that the common areas particularly reception area is clean and tidy at all times
15. Handle mail, and incoming and outgoing deliveries
16. Organizes newspapers, magazines and other reading peripherals, hence maintaining a high level of housekeeping
17. Coordinates conference room bookings, refreshments for meetings and other special arrangements
18. Assists Guest Service Coordinators with secretarial and administrative duties, when required
19. Handles client inquiries and refers to Manager or General Manager, where required
20. Other duties from time to time as designated by the Manager or General Manager
Customer Service
1. Establishes and offers input on improvement to service standards
2. Carries out duties and interactions with clients in a professional manner at all times
3. Ensures that the Centre’s service standards are maintained at all times
4. Ensures that clients’ requests and demands are met to the best of your professional ability. This include handling of inquiries, complaints and feedback’s
5. Develop rapport and professional business relationships with fellow colleagues and clients
